The CRM for exhibition organizers
Every expo is a flow.
Leads become exhibitors, booths become contracts, contracts become payments, and invitations become visitors at the door. ExhibitionFlow keeps every part of the edition moving in one place, for your sales, finance and registration teams alike.
Arabic, Kurdish and English, right to left where it should be
The edition dashboard, the first page your team opens every morning.
Visitors walking aisles. Exhibitors filling booths. Payments, messages and schedules, all moving at once.
Most expos run that movement on spreadsheets and WhatsApp groups. ExhibitionFlow puts it on one road: every lead, booth, contract, payment, message and visitor is a record the whole team shares, from the first call to the last report.
- record per company and person, kept across editions
- 1
- languages in every screen, form and message
- 3
- reports, printable and exportable to Excel
- 10
- permissions to build the roles your expo needs
- 61
One road, from the first lead to the last report.
An edition moves in one direction. Each stop below is a part of ExhibitionFlow, and each one hands its work to the next without anyone typing it twice.
01Sell
A pipeline your sales team actually keeps up to date.
Every exhibitor and sponsor starts as a lead on a board you design. Reps drag cards between stages, log every call and meeting, and set the next follow-up before they hang up. When a deal is won, ExhibitionFlow adds the company, the contact and a draft participation for you.
Boards per pipeline
Exhibitors, sponsors or your own pipelines, with stages you name and order.
A timeline for every lead
Calls, WhatsApp, eMails and meetings with their outcome, plus every stage and owner change.
Follow-ups that come to you
Due today, this week or later, with an hourly reminder to the lead's owner.
Lost, with a reason
Too expensive, dates don't suit, chose another expo. You'll see the pattern in the report.
Your old lists, back to work
Import companies and people from Excel back to 2019, tag them, and turn any selection into leads.
Returning exhibitors flagged
Cards show who exhibited before, with one tap to call, WhatsApp or eMail.
02Book
Every booth and package, and who has it.
A booth is a code, a price and its area. Its status follows the exhibitor who booked it: on hold while the deal is a draft, reserved once you commit, sold when the participation is confirmed. Booked booths lock, so nothing is ever sold twice.
Available, on hold, reserved, sold
Counts on every tab, and the space booked in m² on the dashboard.
Sponsorship packages
Platinum, Gold or your own, each with the quantity on offer and how many are left.
Discounts with a trail
An amount or a percentage off the list price, only for people allowed to give one.
Spreadsheets in and out
Load your booth list from Excel, and export it any time.
03Sign and collect
From reservation to the last installment, on one page.
Each exhibitor and sponsor has a participation: what they booked and at what price, the contract, the payment schedule and every payment against it. Download the contract when you reserve, mark it signed when it comes back, and let the reminders chase what's due.
Four clear stages
Draft, reserved, signed and confirmed. You decide whether confirming also needs a first payment.
A contract in one click
Numbered on first print, with booked items, discounts, the schedule and a signature box, in your expo's own brand.
Payments as they really happen
Bank transfer, cash, cheque or card, with receipts attached and voids explained.
Reminders before and after due dates
Sent to the company's finance contact. Your team hears about anything overdue.
04Invite
eMail and WhatsApp that reach people, and protect your name.
Invite last year's visitors, chase this year's exhibitors, remind sponsors what's due. Build an audience from your own records, send now or schedule it, and see per person who received it, opened it, clicked or replied.
Audiences from your data
Filter by edition, stage, sector, country, tags, payment status or attendance, and save the ones you reuse.
eMails in your expo's design
Four layouts, your logo, colours and font, in Arabic, Kurdish or English.
WhatsApp from your own number
The official WhatsApp Business API, templates approved by Meta, marketing only to people who agreed.
Safety built in
One-click unsubscribe in three languages, quiet hours, paced sending, and an automatic pause if bounces climb.
05Welcome
Registration forms in minutes, and a desk that keeps up.
Publish a registration form for each visitor type, in your visitors' language. Decide which types need approval. Every registration gets a confirmation eMail, and on the day your desk finds anyone by phone or eMail and checks them in.

06Report

Close an edition cleanly.
When the doors shut, a close review walks through everything still open: carry leads to the next edition, cancel stale drafts, keep payment reminders going, decline pending registrations. Then the edition becomes history, and the owner can export all of the expo's data at any time.
07Run the team
Everyone sees what they need, and nothing they shouldn't.
Your expo builds its own roles from 61 permissions: who sees amounts, who records payments, who gives discounts, who can export. Staff sign in with a code sent to their phone, and ⌘K takes anyone to any record, page or action in a keystroke.
Roles you design
Start from Sales Rep, Finance, Registration or Marketing, and change anything.
Passwordless invitations
New staff set their own password after a code to their phone. No shared passwords.
Search everything
Leads, companies, people, booths, campaigns and actions, from one box.
Several expos, one sign-in
Each expo keeps its own team, settings and data, and you switch between them.
Coming soon
One app for everyone in the hall.
The ExhibitionFlow app is for visitors, exhibitor staff and organizers alike. Everyone signs in with their phone number, and the app shows each person the pages their number unlocks for that edition. No modes, and no second app.
Visitors
Discover upcoming expos and events, register in a tap, and keep a pass with a QR code that works without signal. Booths you visit appear on your phone.
Exhibitor staff
Scan a visitor's badge in under three seconds, add a note and how hot the lead is, and keep scanning when the hall Wi-Fi drops. Every visit syncs when you're back online.
Organizers
Today's numbers in your pocket, check-in from any phone, and the exhibitors who haven't scanned anyone yet, while there's still time to help.
On the App Store and Google Play, soon
Ask about early accessArabic, Kurdish and English. Properly.
Every user picks their own language, and every screen, form, eMail and report follows, right to left where it should be. Switch it yourself:
Made for the way expos run here
Dinar or dollar
Pick the currency per edition. Prices, contracts and reports follow.
WhatsApp, officially
From your own business number, with consent recorded for every person.
Each expo kept apart
Two expos under one organizer never share data, roles or settings.
Your data stays yours
Export everything, any time, as Excel workbooks covering every edition.
Questions organizers ask us first.
We run more than one expo. Is that a problem?
Not at all. Each expo gets its own workspace: its own team, roles, WhatsApp numbers, pipelines and data. Anyone who works on several expos signs in once and switches between them.
Can we bring in our Excel sheets from past editions?
Yes. Companies, people, leads, booths, participations and registrations import from Excel. You can tag every imported row, for example “Exhibitor 2019”, and turn any selection of companies into leads for the new edition.
Do the WhatsApp messages come from our own number?
Yes, through the official WhatsApp Business API. You write templates in Arabic, Kurdish or English, Meta approves them, and marketing messages only go to people who agreed to receive them.
Who gets to see what?
Your expo designs its own roles from 61 permissions. Seeing amounts, recording payments, giving discounts, assigning leads and exporting are all separate, and nobody can grant a permission they don't hold.
Do visitors need to install anything?
Not today. Visitors register through your form and get their confirmation by eMail. The ExhibitionFlow app, coming soon, will add a pass with a QR code and booth scanning for exhibitors.
What happens to an edition when it ends?
A close review settles everything still open, from leads you want to carry over to payments still owed. The edition then stays as history, and every report keeps comparing against it.
Who owns the data?
You do. The expo's owner can export all of its data at any time, as Excel workbooks covering every edition.
The hall never ends. Your next edition starts here.
We'll walk you through ExhibitionFlow using your own pipelines, booths and visitor types, in Arabic, Kurdish or English.
